How LandlordHub protects your data

Landlords trust us with leases, payment records and tenant details. This page explains — in plain language, not legal boilerplate — what happens to that data and how it is protected. Every statement here describes something actually built into the product.
Your data lives in the EU, encrypted
All application data is stored on EU-based servers and encrypted at rest. Connections to LandlordHub are always encrypted in transit (HTTPS, enforced with HSTS).
Uploaded files are never public
Documents, payment proofs and maintenance photos are stored in private storage — there are no public links, ever. Viewing a file requires being logged in as one of the people it belongs to — the landlord who owns it or the tenant it is assigned to. The link generated for you expires within minutes (10 minutes for payment proofs and photos, 1 hour for documents).
Files are stored under random identifiers, uploads are validated by inspecting the actual file contents (not the name a device claims), and each account only ever sees its own rows — enforced at the database level, not just in the interface.
Photo metadata is stripped
Photos taken on a phone carry hidden metadata: GPS location, device model, timestamps. LandlordHub re-encodes images before upload, which removes that metadata. A payment screenshot or maintenance photo never carries your location with it.
You decide how long payment proofs are kept
In Account settings, each landlord chooses how long payment-proof images are retained: 1 to 5 years, or forever. Older images are then deleted automatically. The payment records themselves — who paid what, when — are never deleted.
We never touch your money
LandlordHub has no payment rails. Rent is paid the way you and your tenants already pay it — bank transfer, standing order, cash — and LandlordHub records what you confirm. There is no stored card number, no wallet, nothing that could move money.
Your records outlive the service
Every property has a one-click History Report (a printable PDF of the full payment and maintenance record), and the rent ledger exports to CSV. Your data is yours, locally, whenever you want it — no lock-in.
